DURATION: 3 months

JOB DESCRIPTION:
Expressions of Interest are invited from staff interested in acting in the above position for up to 3-months commencing on the 19 January 2004.

ESSENTIAL CRITERIA:
Statement of Duties:
Undertakes the responsibilities of the position in accordance with DLI’s policies to achieve the vision and mission of the Department.

A brief description of the duties of the position is:
 Administers the Manager’s calendar, arranges appointments and meetings and prepares agendas and minutes of meetings.
 Advises the Manager of urgent and confidential matters.
 Monitors the Manager’s inward correspondence and ensures appropriate follow-up actions as required.
 Organises functions, meetings and conferences for the Manager, ensuring appropriate briefing papers, background material and reports are provided in a timely manner.
 Provides research assistance to the Manager, including research of the Internet, libraries, etc.
 Word processing of confidential reports and memos.

Selection Criteria:

Communication
A proven ability to communicate effectively (verbal and written), including the ability to liaise with Senior Management.
Customer and Team Focus
Demonstrate the ability to build and maintain positive relationships with major stakeholders and customer service groups. A proven ability to contribute to, and work as part of, a team is essential to this criterion.
Achievement of Outcomes
Demonstrate organisational skills, including the ability to coordinate and prioritise personal workloads to meet varying deadlines, with minimum supervision. Ability to demonstrate initiative and decision making skills is also important to this criterion.
Discipline
Demonstrate the ability to provide effective secretarial and administrative including minute taking. Ability to use the latest in office and information technology (eg. effective keyboard, word processing and spreadsheet skills). The ability to undertake research and collect, analyse and organise information is also relevant to this criterion.
