Expressions of interest are invited for the above position.

DUTIES AND RESPONSIBILITIES

Corporate Information Officer Level 2 is responsible for classifying and indexing departmental documents, file creation and maintenance, as well as the maintenance of quality control of records and assisting Departmental staff as

Duties
        * Classify and index documents including Ministerials, using the records management system (TRIM) and the Departmental Business Classification Scheme; and designate action officers.
        * Control the creation of new files including the allocation of appropriate titles, dispositions and codes using the Business Classification Scheme
        * Assists in the maintenance of Quality Control of the records management system.
        * Liaises with the Senior Corporate Information Officer to maintain the departmental Business Classification Scheme
        * Amalgamate Ministerial with the main file when required and enclose documents in files electronically (TRIM).
        * Respond to client enquiries relating to records management
        * Control the retrieval of records from offsite storage areas and ensure delivery of those records to clients
        * Assists the Senior Corporate Information Officer with periodic and systematic culling of files. Also arranges disposal action, according to approved Retention and Disposal Schedules and updates records in the records management system.
        * Assist in the training and induction of Corporate Information staff
        * Assist in the training of administrative staff in records management

SELECTION CRITERIA:

Essential
        * Demonstrated experience in a document and records management environment with a computerised document management system
        * Good knowledge of records management principles, policies and standards and legislation
        * Demonstrated experience in keyword classification structures, or thesauri use and development including skills in indexing and classifying files and documents.
        * Good oral and written communication skills
        * Ability to work effectively in a team with colleagues and clients
        * Demonstrated experience using information technology. E.g. Office Suites, Intranet and TRIM
        * Knowledge of electronic document management systems. (EDMS).
        * Knowledge of retention and disposal procedures, including file appraisal and the application of disposal actions.
