JOB DESCRIPTION:
We are seeking an Administration Assistant to the Director of Custodial Contracts. The person we seek will have extensive experience in the executive support roles and excellent communication, interpersonal and organisational skills.
This position provides secretarial and administrative services to the Directorate of Custodial Services, these include:
* Monitoring, organising and prioritising incoming correspondence
* Preparation of routine correspondence on behalf of the Director and management team
* Word processing and document preparation for the Director and management team including Excel and Powerpoint
* Take minutes at meetings where required
* Organisation of travel arrangements, conferences and meetings for Director and management team
* Management of diaries
* Orders and maintains stationary and equipment
* Prepare financial reports
* Liaises on behalf of the Director with a range of clients including the judiciary, senior representatives within the private and pubic sector.
* Develops and maintains record management systems for the Director and Managers
* Achieves tasks through effective and efficient use of allocated physical and financial resources
* Assists in the development and monitoring of Custodial Contracts
* Participates and contributes to a positive and innovative workplace environment
* Undertakes research as required
